St George's Hall - Terms & Conditions

Applications

All bookings are provisional and will be held for 14 days (unless alternative arrangements are made with the Manager) St George's Hall reserves the right to release a provisional booking is a deposit has not been received within the provisional period.

A booking is not considered confirmed until a deposit and accompanying confirmation are received. All applications for hire must be made on the official booking form. The application becomes a binding contract when both parties sign it. The person who signs the booking form is considered to be the hirer. Where a company or organisation is named, that body is also considered to be the hirer and is jointly and severally liable heron with the person who signs the form.

Confirmations

2.1The Hirer must inform St George's Hall not less than 14 days prior to the function of the anticipated number of guests attending and the final menu choice. The final number attending to be confirmed at least 4 days prior to the event. The amount payable by the hirer shall be payable on this final number or the number actually attending, whichever is the greater. Seating plan, if applicable, is required 48hrs before the function.

Charges

3.1 St George's Hall request a deposit before any function and if not paid within 14 days of the request, the booking may be considered cancelled. If a function is cancelled for any reason whatsoever, the deposit is none refundable.

3.2 St Georges Hall reserves the right to increase or decrease the charges at it's absolute discretion.

3.3 VAT is included in prices quoted.

Payment

4.1 Upon booking an event an agreed initial payment must be made to the hirer. The balance or the charge must be paid at least 14 days prior to the event.

4.2 Overdue accounts will incur interest charges at the rate of 5% per calendar month.

4.3 Cheques should be made payable to: Northampton Masonic Hall.

Credit

5.1 No credit facilities are available and all functions must be paid for in full as clause 4.1.

Cancellations

6.1 If the hirer should cancel, St George's hall will try to reduce it's loss as far as possible but may nevertheless charge a cancellation fee according to the period between cancellation and the proposed function. The percentage cancellation charge being based on the number of guests given at the time of confirmation of the booking and the estimated income from both catering and bars. The cancellation times and the percentage charge will be as follows: Cancellation between 3-6 months prior to the event = 25% Cancellation between 1-3 months prior to the event = 30% Cancellation between 1 month and 14 days prior to the event = 50% Cancellation between 14 days and 7 days prior to the event = 80% Cancellation less than 7 days prior to the event = 100% 6.2 St George's Hall may, due to circumstances beyond their control, cancel any engagement and shall not incur any liability to the hirer whatsoever other than the return of any fee paid in respect of such cancelled engagement.

Damage

7.1 The hirer shall be liable for any damage to any part or parts thereof or to the fabric of the building, any fixtures, fittings, equipment or other property and shall make good and pay for any damage.

7.2 Under no circumstances will St George's Hall make good or accept responsibility or liability in respect of any damage or theft or loss of any property, goods, articles brought into or left upon the premises either by the hirer or any other persons.

Equipment

8.1 All equipment brought into the building for the purpose of the event or hire by the hirer, attending the event must be removed at the end of the event or sooner if requested by the manager.

Licenses

9.1 All conditions attached to any liquor, music and dancing licenses for the hired premises shall be duly observed.

9.2 Performing rights, where the hirer employ any band or musicians the hirer is responsible for payment of any fees due to the Performing Rights Society.

Health & safety

10.1 St George's Hall has a Health & safety Policy. Please note that the hirer is responsible for ensuring that the function complies with this.

Finishing Times

11.1 Functions must finish at the time agreed when booking and extensions of the time may not be possible.

Corkage

12.1 If the hirer wishes to bring alcohol on to St Georges Hall premises, our consent is first required and we reserve the right to make a charge. General Liability St Georges Hall will not be liable to the hirer in respect of matters beyond it's control and the Laws of the United Kingdom will govern any dispute.

Miscellaneous Items

13.1 The right of entry to the hired premises is reserved by the manager at all times.

13.2 The hirer shall comply with all reasonable requests by the manager.

13.3 The hirer shall, during the hiring, be responsible for the effective control of the persons attending the event. The safety of the hired premises and preservation of good and decency therein.

13.4 The hirer shall , at the expiration of the period of hiring, leave the premises in a clean and orderly state.

13.5 If the hirer fails to observe and perform any one or more of the stipulations contained in the foregoing provisions of this condition St George's Hall may cancel any engagement and/or any facilities in use.
